TORCH RELAY CONTEST RULES - EMPLOYEES

Participation in this contest (the "Contest") is voluntary. It involves the processing of participants' personal data as described in the Privacy Policy, as well as the commitment of each participant to comply with the specific terms and conditions of this contest. This document constitutes the complete terms & conditions of the contest (the “Rules”). 

 

Article I: Organization 

SA COCA-COLA SERVICES NV, 1424 Chaussée de Mons, 1070 Brussels, Belgium (the "Organizing Company"), is organizing a contest (without any obligation of purchase to be eligible), entitled "The Olympic Torch Relay Nomination " (the "Contest"). The registration phase is open between 11th March 2025 at 10 a.m. and 10th April 2025 at 11.59 p.m. CET. 

The Contest is only accessible at the following address:

Article II: Conditions for eligibility to participate in the Contest 

The Contest is open from 11th March until 10th April 2025 at 11:59 p.m. CET for all employees of The Coca‑Cola Company in Europe on permanent contracts, or fixed-term contracts (including interns) that will last at least until  February 22nd 2026. Contractors, associates employed in Platform Services and the employees based in Italy are excluded from the participation of this Contest.

This Contest is reserved strictly for physical persons who manually and personally validate their participation. 

Participation using several e-mail addresses linked to the same natural person is strictly forbidden. It is also forbidden to participate with an e-mail address opened on behalf of another person. 

The Organizing Company shall not be held liable if a participant cannot be reached for any reason beyond its control. 

Participation is limited to one entry per person (same first name, surname and postal address) for the duration of the Contest. 

Only entries that comply with all the above stipulations will be retained. In this regard, the Organizing Company reserves the right to conduct all necessary verifications regarding the identity, age and contact details of each Participant. 

Any submission that is incomplete, erroneous, falsified or does not identify or locate a Participant or a Group of Participants will result in the invalidation of participation. 

Participation in the Contest implies full acceptance of these Rules in their entirety. 

 

Article III: Terms of participation in and registration for the Contest 

To participate, each Participant must:

2. Read the Rules of the Contest 

3. Complete the registration form with all the requested information, including personal information such as last name, first name, e-mail address, telephone number and work site. 

b. All information as required by the Organizing Committee of the Olympic and Paralympic Games if you are selected, including gender, date of birth, place of birth, postal address, uniform size, any need for assistance and ID card number for the background check. 

c. Your motivations for taking part in the Contest. This requires inserting your motivation text in the dedicated field and answering the questions (maximum 500 words of each question) 

Participation in the contest is only validated once all the above-mentioned steps have been completed by the participant and the form has been submitted. 

Each entry must be in line with The Coca‑Cola Company's values in order to be valid, particularly the values of inclusivity, positivity, unifying force and respect for others and with the Milano Cortina 2026 values which are:

  • Passion: The value of passion is reflected in the stories of the torchbearers, who embody the originality, warmth, and creativity of the Italian Spirit.
  • Talent: Talent represents the excellence and potential of the Torchbearers.
  • Energy: The enthusiasm of the Torchbearers symbolizes resilience, civic commitment, and teamwork.
  • Respect: Respect represents hospitality, inclusivity, and the torchbearers' ability to unite, breaking down barriers. 

The Organizing Company reserves the right to reject applications which, in its opinion, are not sufficiently motivated. 

By taking part in this Contest, each Participant guarantees that: 

- meets all the criteria mentioned above. 

- has read and understood the privacy notice dedicated to the contest. 

- accepts the rules for torchbearers and acknowledges the privacy notice set out by the Milano Cortina 2026 Organising Committee 

- accepts that the submitted story, as well as each participant first and last names, may be published on the dedicated Milano Cortina 2026 and Coca‑Cola sites if the participant is selected as a torchbearer. 

 

Article IV: Procedures for designating and informing candidates 

The Contest shall take place in different stages: 

1. First stage: (11th March – 10th April, 2025) 

This comprises of the Registration period, under the conditions described in Article III above. 

2. Second stage: (April 2025) 

The Organizing Company shall appoint a jury (the "Jury"), composed of members from the Organizing Company. The Jury will meet within two weeks of the end of the abovementioned registration period and will select 26 eligible Candidates.

3. Third stage: (May 2025 – August 2025)

The candidates selected by the Jury will then be submitted to Fondazione Milano Cortina 2026 for final approval. Candidates accept that they may be subject to an administrative inquiry by the State services for security and safety reasons, as part of the organization of the Relay. Only once a positive validation has been obtained, the candidate may be officially selected as an Olympic Torchbearer. 

Due to the high number of applications, unsuccessful Contest participants will not be informed. 

At all stages, the decisions of the Jury are final and cannot be challenged by the Participants. 

The announcement of the selected Torchbearers will be made in August 2025 (this date might be subject to change due to Milano Cortina 2026 organizational needs)  

 

Article V: Description of the Endowment 

Once all above-mentioned stages have been completed, 26 candidates will be selected by a jury under the conditions set out in Article V above and will have the opportunity to carry the Olympic Flame as defined below: 

  • Between 6 December 2025 and 6 February 2026 ; 
  • On Italian territory; 
  • A distance of approximately 200m. 
  • Wearing the official flame bearers' uniform provided by Fondazione Milano Cortina 2026 (“MiCo26”). 

The precise dates and location for each Torch Bearer’s participation will be defined and communicated once the 26 candidates have been selected. 

 

Article VI: Modalities of delivery and use of endowments 

Those whose applications have been approved by the Organizing Committee for the Olympic Games and the State Security Service, hereinafter referred to as the "Winners", will be contacted in September 2025 by the Organizing Company to determine the conditions for the delivery of prizes and the implementation of the prizes. All Candidates are required to check all folders in their electronic mailbox, including junk mail, to detect any email from the Organizing Company over the month of August and September 2025 as the Organizing Company shall not be responsible for any missed communications. 

Once selected, the successful candidates will be contacted by Fondazione Milano Cortina 2026 for the logistical organization and implementation of the torch relay. 

If a Winner no longer wants or is able to redeem the prize under the conditions described in these Rules, the Winner shall be considered as having renounced the full benefit of the prize and will henceforth be unable to claim any compensation or consideration from the Organizing Company in this respect. All endowments/prizes are non-transferable to any third party by the successful candidate. 

If a Winner is no longer employed by one of the legal entities of The Coca‑Cola Company at the time of the Milano Cortina 2026 Torch Relay (December 6th, 2025 – February 6th, 2026), the Winner shall lose the full benefit of the prize and will not be able to claim any compensation or indemnity from the Organizing Company in this regard. The Winner will also not be able to transfer the endowment to a third party. 

In either case, the Jury reserves the right to award the endowment to another Candidate, without this being an obligation. 

A medical certificate is not a requirement for participation. However, Torchbearers who will be definitively selected by the Milano Cortina 2026 Local Organizing Committee of the Olympic and Paralympic Games (MiCo26) are encouraged to consult a doctor before participating in the Torch Relay to ensure that their physical aptitude allows them to be a Torchbearer. 

The Organizing Company cannot be held responsible for any injuries or accidents that may occur on site or during the event. For more information, please consult the terms & conditions of Milano Cortina 2026 Olympic Torch Relay. 

MiCo26 reserves the right to cancel all or part of the Relay, to modify its format (a participation slot in the Relay, the route, the place, the date, the time, the duration, etc.), to stop the Relay in progress or set up a fallback route if circumstances should require (namely but not limited to: bad weather conditions, health rules, excessive temperatures, etc.) without its liability or that of the Organizer being able to be sought for any reason whatsoever. In the event of cancellation or modification of the Relay, no financial compensation may be claimed. 

In the event of selection, the successful candidates accept that they may be subject to an administrative investigation by the State services for security reasons, within the framework of the organization of the Relay.

Article VIII: Health Situation 

As the health situation related to the Covid19 epidemic may impact the availability of the endowment announced, Coca‑Cola or its partners offering endowments may be required to modify the dates of the Contest, or to modify or cancel all or part of the prizes described above. 

 

Article IX: Conditions of use of personal data 

Participation in the Contest necessarily entails the processing of the personal data of all participants and Winners of this Contest following the Terms of Use of Personal Data, insofar as such processing is necessary for the administration of the entries in the Competition. These terms apply specifically to the Contest and complete the provisions of the Privacy Policy dedicated to this Competition. 

The processing of your personal data for the administration of this Competition requires that your data be transmitted to subcontractors or service providers of Coca‑Cola: 

In addition, Coca‑Cola shall transmit, in the framework of this Contest, your data to independent partners associated with this Contest, who will then become responsible for the processing of your personal data and with whom you will be connected. Your data will then be processed in compliance with the personal data policies of the partners listed below: 

  • Fondazione Milano Cortina 2026 - Organizing Committee of the Olympic and Paralympic Games, with its registered office in Via della Boscaiola, 26, 20159 Milano (MI) for the validation of the selected applications and the management of the torchbearers. 

  • Louder, with its registered office in Corso Brescia 91, 10152 Torino TO

  • Wiz Team, Av. de Rhodanie 58, 1007 Lausanne, Switzerland, as the agency responsible for providing the platform and infrastructure for the application form.

Article X: Compliance with the conditions of participation 

Participation in the Contest implies unreserved acceptance of these Rules in their entirety. 

The Organizing Company reserves the right to verify the accuracy of the data provided by the Participants. Failure to comply with the conditions of participation set out in these Rules and, in general, any inaccurate, illegible or misleading statement, or any fraud, will result in the invalidity of participation in the Contest. No telephone or written request will be answered regarding the interpretation or application of these Rules, the mechanisms or terms of the Contest or the names of the Winners. 

The Organizing Company reserves the right, for any reason whatsoever, to shorten, extend, postpone or cancel the Contest or to modify the conditions of access and/or the modalities of operation.

Article XI: Image rights 

The transfer of image rights only applies to those candidates selected as Torch Bearers. 

Each candidate acknowledges having been informed, expressly and without reservation, that he/she is likely, in the event of selection to carry the Flame, to be photographed, filmed, identified and/or otherwise recorded in any other way by the Organizing Company, all companies belonging to the same group, and their partners, Milano Cortina 2026, the IOC, the IPC, public stakeholders of Fondazione Milano Cortina 2026 and the sports movement represented by the Italian National Olympic and Sports Committee, the Italian Paralympic and Sports Committee and the national federations involved in the Olympic Games (together the "Stakeholders") and/or any third parties authorized by them in relation to the planning, direct or indirect promotion, preparation, organization and/or running of the Games, the Relay and more broadly, of the Olympic and Paralympic Games. 

In this respect, each Torchbearer expressly authorizes, without restriction or reservation and free of charge, the Organizing Company, all companies belonging to the same group and their partners, as well as MiCo26, the IOC, the IPC, the Stakeholders and/or any third party authorized by them, within the framework of the activities described above and for the Authorized Purposes as defined below, directly or indirectly, through its/their respective partners and/or service providers, to: 

  • take or arrange for the taking of photographs and/or sound recordings of the voices and/or the Torchbearers, alone or in the presence of third parties. 

  • use or permit the use of footage and/or sound recordings of the voice and/or words of the Torchbearers, as well as their first name(s), last name(s), age and capacity (the “Image of the Torchbearer(s)”), including fixing, recording, reproducing, representing, publishing, broadcasting and more generally communicating to the public the Image of the Torch Bearer(s), in full or by excerpts (i) on any current or future media, whatever their format and nature (ii) by any existing or future processes and, (iii) whatever the method of existing or future means of exploitation and distribution ; 

  • associate or cause to be associated, combine or cause to be combined all or part of the Images of the Torchbearers, in any way whatsoever, with any captions, slogans, trademarks, distinctive signs or any other graphic or verbal element relating to the Organizing Company and to the group to which it belongs, as well as to the Games and to the Relay, such as dialogues, comments, voice-overs (this list being non-exhaustive), and to carry out for this purpose any adaptations that may prove necessary to meet the specific technical and operational requirements of the Games and the Torch Relay; 

  • integrate or have integrated all or part of the Image of the Torchbearers, into any other work or document of any kind, and to make any adaptation to this end that may prove necessary to meet the specific technical and operational requirements of the Games and the Relay. 

  • retain for archival, documentary, historical, legacy or reference purposes regarding the Games, all media on or in which all or part of the Image of the Torchbearers is reproduced or incorporated. 

 

Each Torchbearer acknowledges and declares that they accept that the Organizing Body, any companies belonging to the same group, MiCo26, the IOC, the IPC, and the Stakeholders, and/or any third parties authorized by them, may each independently use the Image of the Torchbearer for any commercial or non-commercial purposes, and in particular for promotional, advertising, illustration, internal or external communication, information and/or documentary purposes, with the aim and for the purposes of promoting the brands of the Organizing Body, any companies belonging to the same group, the Relay and/or the Games, and/or the practice of sport and/or the Olympic and Paralympic movements and/or the Olympic and Paralympic values (the "Authorized Purposes"), it being specified that the Organizing Body, any companies belonging to the same group, MiCo26, the IOC, the IPC , and the Stakeholders are under no obligation to exploit all or part of the Image of the Torchbearers, such use being carried out at their sole discretion. 

Each Torchbearer authorizes the Organizing Body, any companies belonging to the same group, MiCo26, the IOC, the IPC, and the Stakeholders, each independently, to grant this authorization to any third party of their choice. 

This authorization is granted for the universe and for a period of 50 years from the first exploitation of the Image of the Torchbearer. 

If the Torchbearer is a minor, the present authorization is granted (i) by all of his legal representatives, who acknowledge that they act as joint holders of parental authority, in their name, on their behalf or (ii) failing that, by the legal representative empowered to represent parental. 

The Torchbearer guarantees that he is not bound by any exclusive contract relating to the use of his Image and more generally, relating to any attribute of his personality that prevents participation in the Relay and more specifically the fixing, recording and use of the Image of the Torchbearer as authorized herein. 

As such, the Torchbearer guarantees the Organizing Body, any companies belonging to the same group, MiCo26, the IOC, the IPC, the Stakeholders and/or any third party authorized by them, the full and complete enjoyment of the rights conferred by this agreement as well as against any disturbance, claim and eviction in this respect. 

 

Article XII: Responsibilities 

The liability of Coca‑Cola, its partners or service providers involved in the organization of the Contest, is strictly limited to the delivery of prizes effectively and validly won. 

XII.I Online entries 

With regard to online entries, participation in the Contest implies knowledge and acceptance by each participant of the characteristics and limits of the Internet, the networks of communication and equipment (computer, tablet, smartphone, etc.) used to participate, particularly with regard to technical performance, information transfer times, connections to internet networks, landline or mobile telephone networks, the lack of protection of certain data against possible misappropriation, and risks of contamination by viruses or risks of intrusion on the systems. 

Consequently Coca‑Cola and its partners or service providers participating in the organization of the Contest cannot be held responsible for technical failures the prevent participation, the awarding of a prize or for any damage whatsoever caused to a participant, his or her equipment or to the data stored therein, or any consequences that may result from this on their personal or professional activity. 

It is the responsibility of all participants to implement the appropriate measures to protect their data, equipment or software against any infringement. 

XII.II Participant content 

Participants declare that they have been informed and expressly accept that Coca‑Cola and its partners or service providers cannot be held responsible for the content posted by the Participants in the framework of participation in the Contest. 

Participants declare that they have been informed and expressly accept that Coca‑Cola and its partners or service providers cannot be held responsible for prejudice of any kind (personal, physical, material, financial or other), from any incident occurring during or following the participation in the Contest and in the Relay. 

 

Article XIII Intellectual Property 

Participants are informed and declare to accept that Participation in the Contest does not confer on them any right to the elements protected by intellectual property law that are distributed or made available by Coca‑Cola or its partners within the framework of the Contest, in particular, graphics, logos, text, slogans, photographs, video, trademarks or designs, which remain the exclusive property of The Coca‑Cola Company or its partners. 

When CocaCola or its partners associated with the organization of the Contest, makes available to participants any elements protected by intellectual property law for the purpose of allowing participation in the Contest, participants are granted the right to use its elements for the sole needs and for the sole duration of the Contest. Participants may not exploit- and in particular may not modify, reproduce or disseminate these elements - other than for use for the purposes of participating in the Contest, unless otherwise specified in the materials that provide these elements or in the specific terms and conditions of the Contest. 

 

Article XIV Regulations, Applicable Law and Jurisdiction 

Participation in the Contest implies acceptance of the Rules governing this Contest. Should one or more of the stipulations of the present Rules be declared invalid and/or unenforceable, the other provisions shall remain in force and applicable. 

These Rules are governed by Italian law. Any dispute that cannot be settled by an amicable agreement will be brought before the competent courts designated by the Italian Code of Civil Procedure.
